BIPS Guledgudda operates in a Tier 3-4 catchment area where the majority of parents lack smartphones or digital literacy, making online fee payment and admission enquiries nearly impossible without in-person support. This created a cascading set of operational inefficiencies:

  Fully offline admission process: Parents submitted handwritten forms in person. No online enquiry/application path existed.

  Manual data re-entry burden: After collecting paper forms, office staff had to individually key in each student's details into the admission module. A slow, error-prone process consuming significant working hours.

  Cash-only fee collection: All payments were handled offline at the counter, with no digital trail, delayed reconciliation, and high dependency on physical presence.

  Oversized administrative team: The admission and accounts workflow required 3-4 staff members working simultaneously to manage what should have been a streamlined process.

The Solution

Given the community's digital access constraints, the implementation was designed to be staff-assisted & inclusive, equipping the school team to guide parents through the process rather than requiring parents to self-serve independently.

Adoption Approach: Admin & accounts staff were trained first, followed by all office staff members. Given parent digital literacy constraints, the school team assisted parents directly; helping them apply and complete payment through the portal. Eliminating the paper-form bottleneck without excluding the community.
